User Manual

Keep the business records clear.

Use this guide as you work. Klin Books is a done-for-you bookkeeping and business-finance platform—not a mini POS—and every saved financial fact remains tied to authorized business records.

Getting started and business setup

Create your account, choose the business you are working on, add its type once for useful examples, then set up the exact cash, Till, Paybill, Pochi and bank accounts the business uses.

Add Records

Use Quick add for a structured sale, expense, stock purchase, debt payment, owner money or transfer. Write it turns normal business words into an editable draft. Add totals records a supported day or period total. Photo / upload reads a receipt or supplier document for you to review before saving.

Products and stock

Save each product once with its unit, quantity, buying cost, selling price and low-stock level. Use Add stock, Remove stock and Count stock for real movements. A sale linked to the saved product reduces that same product once.

Money accounts and Cash Position

Money cards use your exact configured account names. An account can remain visible while its starting position is still needed. Cash Position compares posted books with supported observations; unknown is never shown as zero.

Customers and suppliers

Record credit sales, bills and their explicit payments so Klin can show who owes you and whom you owe. Do not treat an unrelated deposit or withdrawal as debt settlement.

Opening, leaving and back checks

Choose the exact accounts you observed and enter what was actually present. A blank answer means unknown; zero means you checked and found zero. These checks create evidence and do not silently rewrite the books.

Statements and Ask Klin

Upload a supported M-Pesa or bank statement, confirm its account identity and review the extracted transactions. Ask Klin answers from the currently selected statement, including supported totals and counterparty searches; it does not invent missing values.

Receipts, corrections and history

Issue or open a receipt from the saved sale. Use the supported correction or reversal flow instead of editing posted history in place. History keeps the original evidence and the reason for the change.

Reports and compliance

Reports use the same posted ledger as the rest of the workspace and state gaps in coverage. Tax and compliance pages support preparation and evidence tracking. eTIMS integration and KRA certification remain pending approval; Klin Books does not claim certification today.

Settings and security

Update business details in Settings. Security shows authenticator status and supports secure setup or change. Closing your user account requires strong confirmation, revokes your sessions and retains the business accounting records for other authorized users.

WhatsApp

Use Connect WhatsApp inside Add Records or Sources to link the business through Klin's designated business channel. WhatsApp is another intake door into the same review and accounting engine, not a separate ledger.
